Privacy Policy

Randy Brown Advisory, LLC (“we,” “us”) operates PlanVector, a financial planning and analysis service that connects to your accounting system to produce financial statements, budgets, forecasts, and analysis. This policy explains what data we access, why, how we protect it, and the choices you have. It applies to data we obtain through your Intuit® QuickBooks® Online connection and to your use of PlanVector.

Information we access from QuickBooks Online

When you authorize a connection, you grant PlanVector read access to the accounting data of the QuickBooks company you select, through Intuit’s API. We retrieve only what is needed to produce your reports, which may include:

• Company information and fiscal-year settings;
• Chart of accounts, classes, and departments/locations;
• Trial balance and general-ledger transaction detail;
• Customer and vendor lists and A/R & A/P aging.

We do not request write access, and we do not create, modify, or delete data in your QuickBooks company. We do not access payroll detail or payment-card data.

How we use it

We use your accounting data solely to provide the service to you: generating financial statements and reports, budgets and forecasts, reconciliations, and drill-down analysis for the business whose data you connected. We do not use it for advertising, and we do not sell it.

How we store and protect it

• Isolation. Each connected business’s data is kept in a separate, access-controlled database.
• Encryption in transit. All access is over HTTPS/TLS.
• Encryption at rest. OAuth tokens are encrypted at rest, and data is stored on an encrypted volume.
• Access controls. Application access requires authentication and multi-factor authentication; access is limited to authorized users of your account and a small number of our personnel who need it to operate and support the service.
• Backups. Encrypted backups are maintained for reliability and disaster recovery.

Sharing

We do not sell your data and do not share it for others’ marketing. We disclose it only: (a) to infrastructure providers (e.g., hosting and encrypted backup) that process it on our behalf under confidentiality obligations; (b) to you and users you authorize; and (c) if required by law or to protect rights and safety. We handle Intuit data in accordance with Intuit’s requirements.

Retention and deletion

We retain your accounting data for as long as your connection is active and you use PlanVector. You may disconnect at any time (see below); disconnecting revokes our ability to retrieve further data. Upon your request, or after termination of your account, we delete the stored data within a commercially reasonable period, except where retention is required by law.

Your choices and controls

• Disconnect anytime from within PlanVector, or from QuickBooks → Settings → Apps. Disconnecting immediately stops further access.
• Access, correction, deletion. Contact us to access, correct, or delete the data we hold about your business.

Intuit and QuickBooks are trademarks of Intuit Inc. Your use of QuickBooks remains governed by your agreement with Intuit. We access your QuickBooks data only with your authorization and only as described here.

Changes

We may update this policy; we will post the revised version here and update the effective date. Material changes will be communicated to account holders.
